Spendwise
Expense management and corporate-card reconciliation for finance teams
Spendwise is an expense management and corporate-card reconciliation tool under your brand. It pairs receipt capture (mobile + email forwarding) with policy enforcement (per-category caps, manager approvals, automatic flagging of out-of-policy spend) and a clean reconciliation flow against the bank's corporate-card statement. It is built for finance teams who want Brex-or-Ramp's UX shape without locking spending control into a vendor card program.
Key features
- Mobile receipt capture with OCR auto-population (vendor, amount, tax, date)
- Email-forward inbox for digital receipts (one address per employee)
- Policy engine with per-category caps, geographic rules, approval chains
- Corporate-card import from Plaid + Mercury + manual statement upload
- Auto-match transactions to receipts via heuristic + manual override
- Mileage tracking with map-derived distance verification
- Approver dashboards with bulk approve / reject and policy-violation flags
- Two-way export to QuickBooks, Xero, NetSuite, with chart-of-account mapping
Architecture
Built on the Vertical SaaS Stack.
What you get
Spendwise lands as a multi-tenant SaaS with a paired iOS + Android employee app under your brand. Plaid is wired for card feeds during onboarding; QuickBooks or NetSuite OAuth completes day-one setup; the first month of policy calibration runs in shadow mode before flipping to enforce.
Sample customer story (placeholder — illustrative only)
A 320-person construction services firm licensed Spendwise to replace an Expensify install whose policy engine had been overrun by exceptions. Within two months, time to close the books dropped from “second Wednesday after month-end” to “second Friday before month-end” — most of the change came from receipts being captured on the mobile app at the moment of spend, not from anything Spendwise did at the back end.
What’s NOT included
- Issuing of corporate cards. Spendwise does not issue cards; it reads from your existing card program.
- Procure-to-pay / vendor-bill management. Out of scope; partners with Bill.com / Ramp Bill Pay.
- AP automation for invoices. Use Ledgerline for AR; AP is a different roadmap.
- Custom approval routing on individual line items. Approval is per-expense, not per-line-item; line-level routing is a paid customization.
