Ledgerline

Branded invoicing and recurring billing for service businesses

Ledgerline is invoicing and billing under your brand. It does the boring middle of "send invoice → collect payment → reconcile to accounting" extremely well for service businesses that have outgrown FreshBooks-style consumer-grade tools but find QuickBooks Invoicing locked into the QuickBooks ecosystem. It pairs cleanly with Helm CRM (deals → invoices) and Clockwise (timesheets → invoices) when both are licensed.

Key features

  • Branded invoice generation with PDF, email, and customer self-serve view
  • Stripe + ACH + bank-transfer collection with automatic reconciliation
  • Recurring billing with proration, trial periods, and dunning logic
  • Estimates that convert one-click to invoice on customer acceptance
  • Multi-currency invoicing with daily-rate exchange snapshots
  • Late-payment reminders with configurable cadence and tone
  • Time and expense imports from Clockwise, Toggl, Harvest
  • Two-way sync with QuickBooks Online and Xero (configurable mapping)

Built on the Vertical SaaS Stack.

What you get

Ledgerline launches as a multi-tenant SaaS under your brand. Customers complete the QuickBooks or Xero OAuth flow on day one and start sending branded invoices within an hour. The first dunning sequence gets calibrated against the historical late-payment cohort.

Sample customer story (placeholder — illustrative only)

A 26-person digital agency licensed Ledgerline to escape FreshBooks after their accounts-receivable manager spent more time un-doing FreshBooks default behavior than configuring it. The win after one quarter was the dunning sequence: average days-to-pay on contractor invoices dropped from 47 to 31, and zero of those collections required a partner call.

What’s NOT included

  • Full general-ledger accounting. Ledgerline is invoicing and AR; QuickBooks / Xero remain the GL.
  • Bookkeeping services. Software-only product.
  • Multi-entity consolidation. A paid Pass-2 customization for parent-child entity invoicing.
  • Tax filing. We compute and apply tax rates (via TaxJar / Avalara on higher tiers); we do not file returns.
